Roofing Sheet RFQ Checklist: What to Send Before Quotation

A useful roofing sheet quotation starts with the project information the buyer already knows. A profile drawing or reference, the requested material, dimensions, surface requirements, quantity, packing needs and destination help the sales team understand the inquiry. You do not need to guess a technical value: mark an unknown item for confirmation and provide any drawing, schedule or sample reference available.

This checklist is for preparing an inquiry. It does not set a standard specification, fixed price, minimum order quantity or delivery time. Final requirements should be reviewed against the selected product and project documents.

Before sending an RFQ, collect as many of these items as practical:

  • intended use or building area;
  • roofing profile, drawing or reference image;
  • requested material or substrate, if confirmed;
  • sheet thickness;
  • coating, surface finish and color;
  • sheet width and required length;
  • quantity and preferred unit;
  • packing or handling requirements;
  • destination country and available delivery-location details;
  • required inspection or document information;
  • drawings, material lists or other references available for review.

What each input helps clarify

Intended use

State where the sheet will be used, such as a roof area on an industrial or commercial building. This gives context for the inquiry without asking the supplier to infer an engineering specification. If the requirement is for a wall enclosure rather than roofing, review the Wall Cladding collection instead of assuming the same product is suitable.

Profile or drawing

Identify the required profile with a drawing, reference image or an existing profile designation when available. A visual reference helps distinguish profile geometry and reduces ambiguity. Do not select a profile only from a generic photograph when project drawings define the requirement.

Material or substrate

Enter the specified material or substrate exactly as it appears in the approved project or purchasing document. If it has not been confirmed, say so. The Roofing Sheets collection provides the relevant commercial product route, while the RFQ should carry the project-specific requirement.

Thickness

Provide the specified sheet thickness and unit when known. Do not choose a value from an unrelated product page or assume that one thickness applies to every profile. If the drawing and purchasing schedule differ, attach both and flag the difference for review.

Coating, finish and color

List the required coating or finish and the color reference if the project has one. Use the wording and code supplied by the project documentation. Appearance alone does not confirm a coating specification, so an unknown value should remain open for discussion.

Width and length

State the required width and cut length with units. If a drawing distinguishes overall width from another width measurement, include the drawing rather than combining the values. Multiple lengths can be listed as separate lines with their quantities.

Quantity and unit

Enter the quantity in the unit used by your purchasing team. If quantity is not decided, select or write “Not decided.” Do not enter a temporary number that could be mistaken for the confirmed order quantity.

Packing and destination

Inspection and documents

If the order requires specific dimensional checks, surface checks, packaging checks or documents, list them with the inquiry. The Quality Control page shows the current inspection activities. Any certificate or document request should identify the exact document needed and must not assume that a certificate applies to every product.

If you do not know all the specifications

Send what you have. A profile image, project drawing, current material list, approximate quantity and destination can provide a starting point. Mark every uncertain field as “Not sure” or “Confirm by RFQ.” Do not copy dimensions, coatings or standards from another buyer’s order. The team can review the available information and identify which details still require confirmation before quotation.

Can I list several sheet lengths in one inquiry?

Yes. List each required length with its quantity and unit so the items remain distinguishable.

What if packing requirements are not decided?

Provide the product, quantity and destination information available. State that packing is to be discussed; do not assume a fixed export packing method.
